To run store operations and record business transactions, the system collects:

• User Identity: Username, employee name, assigned branch, and system role (Cashier, Barista, Manager, Store Admin).
• Sales & Register Records: Customer orders, receipts, discount applications, transaction timestamps, and payment channels (Cash, GCash, RCBC).
• Inventory & Supplies: Recipe deductions, restock deliveries, stock adjustments, and item unit cost revisions.
• Attendance & Shifts: Shift time-in / time-out timestamps, opening floats, and cash drawer reconciliations.
• Credit / Tab Accounts: Customer Utang ledgers, repayments, and outstanding balances.
• Security & Audit Logs: Access logs, device IP addresses, browser agents, and security events.

2. Purpose of Processing

All operational data is processed strictly for store operations, inventory deductions, counter sales fulfillment, official BIR compliance, loss prevention, and system troubleshooting.

3. Confidentiality and Safeguards

All data is protected using role-based access control, encrypted passwords, and multi-tenant database isolation. Your information is never sold or disclosed to unauthorized commercial third parties.

Super Administrator Data Access Authorization

Notice on Administrative Visibility: By logging into your account, you explicitly acknowledge and grant full consent to the Platform Super Administrator to view, monitor, audit, inspect, and analyze all store data, sales, attendance, and inventory records across all branches.

1. Scope of Super Administrator Access

As the root platform authority, the Super Administrator possesses system-wide visibility to view and oversee:

• Sales & Financial Analytics: Daily, weekly, monthly, and yearly revenue figures, transaction summaries, and payment breakdowns.
• Supply & Inventory Logs: Ingredient stock on hand, usage logs, supplier costs, and restock records.
• Staff Operations & Shifts: Shift attendance, timecards, active staff sessions, and register handovers.
• Customer Credit Ledgers: Receivables, total Utang tab accounts, and debt repayment records.
• Audit & Diagnostic Logs: Voided items, price overrides, cashier activity, and diagnostic logs.

2. Why Super Admin Oversight is Required

• Technical Integrity & Maintenance: Monitoring database health, preventing transaction errors, and deploying platform updates.
• Fraud Prevention & Loss Mitigation: Detecting unauthorized voids, cash discrepancies, and inventory leakage.
• Cloud Backup & Recovery: Protecting business records against hardware failure or accidental data loss.
• Accountability: Ensuring transparency and fairness across all store users and managers.

3. Staff and User Obligations

Users are required to keep login credentials confidential, refrain from account sharing, and ensure accurate registration of counter sales. Actions performed under an account remain logged for legal accountability.
